GROUP COACHING: JUNIOR AND ADULT
Booking & Registration
- All registrations and payments must be made online via ClubSpark.
- Places are allocated on a first-come, first-served basis.
- Consent information is required for all junior programmes.
- Once a course reaches its maximum capacity, a waiting list may be created. Customers will be contacted if a place subsequently becomes available.
Coaching & Course Arrangements
- We cannot guarantee that a specific coach will be present for every session. We reserve the right to provide a suitable replacement or cover coach where necessary.
- If a course is cancelled due to insufficient numbers, the senior coach or centre staff will suggest alternative arrangements where possible.
- A missed course session may only be replaced with another suitable session at the discretion of the CourtFit off-court team. Any replacement must be agreed and booked in advance.
- Missed sessions will not normally be credited. Credits may only be considered in exceptional circumstances, such as where supporting medical evidence is provided.
- Refunds are not available. See our refund section below for more details.
Player Age & Ability
- Players must be booked onto a programme appropriate for their age and playing ability.
- If a participant is found to be in an unsuitable age or ability group, we reserve the right to recommend a more appropriate session or remove the participant from the programme where a suitable alternative cannot be arranged.
- No refund will be provided where a participant is unable to complete a course because they have booked onto an unsuitable programme.
Behaviour & Conduct
- We do not tolerate verbal or physical aggression towards coaches, staff or other participants.
- Any player displaying inappropriate or aggressive behaviour may be subject to immediate disciplinary action, including removal from the programme without refund.
Transfers
- Bookings are non-transferable and cannot be passed to or replaced by another player.
Adult Classes
- Adult classes are available to players aged 18 and over.
- Although the booking system may allow a junior to book onto an adult class, junior participants cannot be accepted onto adult classes at the courts. Please ensure you select the correct programme when booking.
Photography & Video
- Photographs and videos may be taken during sessions for promotional purposes.
- If you do not wish to be photographed or filmed, please email info@courtfit.co.uk. We will remove any photograph or video featuring you upon request.
Weather Policy
We aim to run all courses and sessions wherever reasonably possible, regardless of the weather.
- Tennis may continue in inclement weather at the coach’s discretion.
- Play will generally only be stopped where heavy and continuous rain make the courts unplayable.
- Where appropriate, coaches may use available wet-weather resources to support off-court learning.
- If conditions are unsuitable, the on-court team will make the decision whether a session should be cancelled.
- Our aim is always to allow as many sessions as possible to go ahead.
- Please refer to the cancellation policy (section below) for any cancellations information.
Where a session is affected by adverse weather, the amount of time played will determine whether the session is considered to have taken place.
- If more than half of the scheduled session is completed, the session will be considered to have taken place and no credit will be issued.
- If less than half of the scheduled session is completed and CourtFit cancels the remainder, a credit will be issued in accordance with our Credit Policy.
Weekly Sessions
This includes sessions such as Cardio Tennis, Match Play and other regular weekly classes.
- Weekly sessions can be booked up to one month in advance.
- Coaches and centre staff may recommend a more appropriate session where a player’s ability or standard is not suitable.
- We reserve the right to exclude a player from a session if they are not of the appropriate standard.
- Missed sessions cannot be transferred to another session.
- Where a player is unable to attend their booked session, 48 hours’ notice is required to request a rebooking into another suitable weekly class.
- Rebooking is subject to availability and is not guaranteed.

Trial Lessons
- CourtFit trial lessons are priced at £15/h.
- Following a trial, players may join the relevant programme at the advertised online price from the following week.
- Advance bookings for a full course may include a small discount. Players booking a trial will not receive this whole-course discount.
- The typical whole-course saving is between £5 and £10, although this may vary.
- CourtFit reserves the right to increase the trial fee for sessions lasting longer than one hour.
- Missed trial lessons cannot be transferred to another session.
- 48 hours’ notice is required to request a rebooking into another suitable trial session.
- Rebooking is subject to availability and is not guaranteed.

Junior Coaching & Supervision
- Children booked onto junior courses and camps are supervised during their scheduled programme.
- We cannot supervise children using the courts or facilities outside their booked course or camp session.
- Children must arrive with appropriate clothing and weather protection for the conditions and must remain with the group unless given permission by the coach to leave.
- If a parent or guardian wishes for a child to leave independently, written permission must be provided to info@courtfit.co.uk in advance.
- If written permission has not been provided and we are unable to contact a parent or guardian, the child will remain under our supervision until they are collected or contact is established.
- Where additional supervision is required because a child has not been collected on time, we reserve the right to charge £10 for every 30 minutes of additional supervision.
- Junior players may only arrange private lessons where they are currently enrolled in the programme, have booked onto a camp during the current term, or are part of the Parent & Child Membership scheme.

Cancellation Policy: Cancellations made by CourtFit Ltd (Junior & Adult coaching)
Where weather conditions are forecast to be poor, the on-court team will make a cancellation decision as close to the start of the session as reasonably possible.
Where possible, decisions will ideally be made no later than 30 minutes before the scheduled start time. Coaches are generally advised to make decisions between 40 and 60 minutes before the session where circumstances allow.
If a session is cancelled:
- Customers will be notified by email via ClubSpark using the email address provided at the time of booking.
- Where a session is cancelled by CourtFit due to adverse weather, an appropriate credit will be issued where applicable.
- If a participant does not attend a session that has not been cancelled by CourtFit, the participant forfeits the session.
- In the event of insufficient numbers, we reserve the right to cancel a course up to one day before its scheduled start date. A credit will be issued; refunds will not be provided.
- If a venue is closed, for example because of severe weather warnings, court resurfacing or other operational reasons, a credit will be issued for the cancelled lesson. Refunds will not be provided.
Please note: A credit is not the same as a cash refund. Credits are applied to your booking account and can be used towards future bookings a the same venue it was issued at.
Children’s Camps – Exception to Standard Canellation Policy
Children’s camps operate under a separate cancellation policy because we recognise that families may rely on camps for childcare and work arrangements.
- Camps are intended to go ahead in most weather conditions.
- Camps may only be cancelled where numbers are extremely low or where severe weather warnings make it necessary to do so.
- Where numbers are low, we will seek to offer an alternative arrangement or venue wherever possible.
- Sessions may continue in poor weather using suitable shelter or alternative off-court activities where necessary.
- Coaches may use wet-weather resources to provide appropriate activities away from the courts.
Cancelling a camp
- Camp bookings may be cancelled for a credit, provided at least 72 hours’ notice is given.
- No credit will be provided where less than 72 hours’ notice is given.
- If insufficient numbers mean that a camp cannot run at the original venue, CourtFit reserves the right to merge venues.
- If a customer is unable to attend the alternative venue offered, a credit will be provided for the affected camp session.
Credits
Where a credit is issued following a cancellation:
- The credit will be applied to the customer’s LTA/ClubSpark booking account.
- Credits will cover the value of the affected session/course
- Credits can be redeemed online against eligible future bookings at the venue from which the credit originated.
- Credits are valid for the period specified in the credit confirmation email, typically around six months.
Refunds
No refunds will be provided, apart from exceptional circumstances such as:
- Leaving the Country permanently with upcoming sessions still booked. A refund of all activities not completed will be provided in full upon proof of leaving (i.e. proof of residency, VISA/citizenship approval letter, named on new address post letter etc.).
- Any other Exceptional Circumstances. If you feel that you have an exceptional circumstance not listed above, please send details to info@courtfit.co.uk Please be as detailed as possible, and include any documentation that may help expedite your request. Once reviewed, the management’s decision will be final. Any refund would be subject to a booking fee of around 20% to cover payment processing, LTA + CLubSpark fees, and any other related costs we incur.
Membership Agreement
Membership means you have joined a CourtFit membership package designed to offer savings and perks for regular players in our group courses and sessions.Please note, our Grand Slam, Challenger & Parent + Child memberships do not cover Sutton venues (Cuddington Recreation Ground & Beddington Park). By becoming a member of CourtFit, you agree to the following terms and conditions:
Membership Duration and Renewal
- Contract Length: The membership is for a fixed period of 12 months, starting from the date of signing this agreement.
- Automatic Renewal: The membership will not automatically renew. A new agreement must be signed for continued membership after the initial term.
Payment Terms
- Fees: Membership fees must be paid in full at the time of signing the contract.*
- Non-Refundable: All fees paid are non-refundable under any circumstances, including but not limited to personal circumstances, injuries, or relocation.
* Our Grand Slam package is available on monthly subscription, minimum term 6 months.
Member Responsibilities
- Conduct: Members must adhere to the club’s code of conduct and rules at all times. Failure to do so may result in suspension or termination of membership without refund.
Suspension and Termination
- Club Rights: CourtFit reserves the right to suspend or terminate membership for violations of club rules, misconduct.
Holiday Bookings
A booking is confirmed once the required deposit has been paid.
The deposit amount will be specified at the time of booking and is strictly non-refundable.
The remaining balance must be paid no later than 8 weeks before the departure date.
If the balance is not paid by the due date, CourtFit reserves the right to cancel the booking and retain any deposit paid.
Bookings made within 8 weeks of departure must be paid in full at the time of booking.
Cancellation charges apply as follows:
- More than 8 weeks before departure: Loss of deposit only.
- Less than 8 weeks before departure: 100% of total holiday cost.
- We strongly recommend that all guests take out comprehensive travel insurance to cover cancellations, illness, injury, or any unforeseen circumstances.

General Cancellation & Refund Information
Customers should refer to the relevant section above depending on the type of booking they have made.
Unless specifically stated otherwise:
- Missed sessions are not refundable.
- Credits are not cash refunds.
- Rebooking is subject to availability and, where applicable, the required notice period.
- Exceptional circumstances may be considered at the discretion of CourtFit management.

By making a booking with CourtFit, you confirm that you have read and understood the relevant booking, coaching and cancellation terms applicable to your programme.

Disputes
- In the event of any dispute between CourtFit LTD and client, the decision of our senior management will be final. Our senior structure is made up of our two company Directors and Head of Operations.
- CourtFit is not responsible for any matter linked to private coaching.
