CLASS & COURSE PAYMENTS
- We are not able to accept cash. Class and court bookings must be made online via Playtomic.
EQUIPMENT
- Bats are available to rent for the duration of the class or court booking at a single fee of £5. Players will be responsible for any loss or damage, and charges will be applied.
- Balls are purchase-only and cost £6 per can. Those are for the player to take.
- Group or private class bookings include bat rental.
- Bat rental or ball purchases are not included in court-only bookings. Equipment must be added as “extras” at the time of making the booking via Playtomic.
- Bats and balls cannot be paid for separately or at the venue. If before the court cancellation deadline, please cancel your booking and re-book with equipment added at the checkout. If past the cancellation deadline, you will not receive a refund so please do not cancel your booking and contact our office team instead. Our team cannot guarantee a response, but we will do our best to arrange this for you.
- Equipment can be collected either from a member of our on-court team or, when our staff is not on site, from the Hilton Hotel’s reception.
- New Tecnifibre bats are available to purchase. Please ask a member of our on-court team or email us for more info.
COURT BOOKINGS
- By default, court bookings open exactly 7 days ahead. E.g. bookings for Thursday 10am in the upcoming week will open at 10am on Thursday in the current week
- Selected memberships may allow players to make court bookings with more advance. For more info please see:
- Court bookings for social play in more advance may be arranged by players without a membership by emailing our office team at info@courtfitpadel.co.uk. An extra charge will be applied.
- For larger event bookings, specific terms can be agreed directly with our office team at info@courtfitpadel.co.uk – we’re flexible and always happy to arrange!
COURT CANCELLATIONS
- To be eligible for a refund, courts must be cancelled minimum 24h before the start time. Refunds or credits will not be issued if a booking is cancelled past this deadline.
- Court cancellations must be done by the player directly via Playtomic app. Cancellations requested via email, even within the deadline, will not be eligible for a refund or credit.
- Courts are classified as all-weather and playable all-year-round. In case of heavily adverse weather where play was not possible for more than 50% of the allotted time, weather credit may be requested by emailing our office team at info@courtfit.co.uk. Credit will be issued in a form of a discount code covering the value of the booking, and redeemable on class, course or court bookings at CourtFit Padel Cobham within 6 months from its issue date.
- Weather credits will be issued at management’s discretion, following visual court surface verification by our team via CCTV system, and/or if weather warnings are in place during the booked slot. Credits will not be issued due to light rain.
GROUP COACHING – BOOKINGS
- Class or course bookings must be made online via Playtomic mobile app directly by the player attending, and all fees must be paid prior to the class start time.
- Only players officially booked in will be allowed to join on court.
- All classes will aim to go ahead irrespective of the weather. Play will only stop due to heavy and continuous rain with no sign of stopping and with the courts becoming unplayable. Play will continue in inclement weather at the coaches’ discretion.
GROUP COACHING – PLAYER CANCELLATIONS.
- To be eligible for a refund, classes can be cancelled directly by the player via Playtomic minimum 24h before the start time. The refund is processed by Playtomic automatically.
- Refunds or credits will not be issued if a booking is cancelled past this deadline.
- Cancellation done by the player must be via Playtomic. Refunds or credits will not be issued if a booking is cancelled via any other form (e.g. emailing our team), even if done within the deadline.
- If the player is absent from a session for a reason other than CourtFit Ltd cancelling the session, they are choosing to forfeit the time.
- In exceptional circumstances such as sickness where a doctor’s note is provided, full or partial credit in form of a discount code may be available upon an email request. Scheduling conflicts are not considered exceptional circumstances.
GROUP COACHING – CANCELLATIONS BY COURTFIT PADEL LTD
- CourtFit Padel Ltd reserves the right to cancel any given class prior to its start time due to insufficient number of players. Refund will be issued to the original payment method.
- Players will be notified by Playtomic via an automatic notification, and by our office team via email to the address on their Playtomic account.
- Where no appropriate email address is available for our team to contact the player, our team will try to do so via sms message. CourtFit does not take responsibility for players not receiving relevant communications due to incorrect details provided by the player.
GROUP COACHING – WEATHER CANCELLATIONS.
- If the weather forecast prior to the session is poor, any decision to cancel will be made by the on-court team as late as it is reasonably possible. We recommend our coaches to make a decision 40-60 minutes in advance of the session provided that the weather makes such call possible. Our overall intention is for as many sessions as possible to go ahead.
- Once a decision is made, players will be contacted either directly by the coach via Playtomic or by our office team via email to the address on their Playtomic account. Please ensure this address is correct.
- In the event of inclement weather (e.g. heavy rain), the extent to which a session is deemed to have taken place is dependent on the total amount of time on court. This time does not have to be continuous.
- Where play was not possible for more than half of the allotted time, players will be issued with credit in a form of a discount code.
- If a session runs over half of the designated time, the session is considered as having taken place and no credit will be issued.
- Refunds are not available for sessions cancelled due to rain.
PRIVATE COACHING.
- Our office team will do their best to help players contact our coaching team regarding private lessons. Those are however arranged directly with the coach, and CourtFit Padel Ltd is not responsible for any matter linked to private coaching.
- The fee for private lessons is agreed upon between the coach and the player, and transferred by the player directly to the coach. This includes the court cost, balls, and bat rental for the duration of the lesson.
- Private class cancellation rules are to be agreed between the coach and the player.
BOOKING HOLIDAY PACKAGES
- A booking is confirmed once the required deposit has been paid.
- The deposit amount will be specified at the time of booking and is strictly non-refundable.
- The remaining balance must be paid no later than 8 weeks before the departure date.
- If the balance is not paid by the due date, CourtFit reserves the right to cancel the booking and retain any deposit paid.
- Bookings made within 8 weeks of departure must be paid in full at the time of booking.
- Cancellation charges apply as follows:
- More than 8 weeks before departure: Loss of deposit only.
- Less than 8 weeks before departure: 100% of total holiday cost.
- We strongly recommend that all guests take out comprehensive travel insurance to cover cancellations, illness, injury, or any unforeseen circumstances.
